Privacy Policy
Last updated: July 23, 2026
This policy explains how the Real Estate AI platform and the “Real Estate Agent” mobile app (together, the “Service”) collect, use, and share information. The Service is a business CRM used by real-estate agencies and their telecallers. It is operated by the agency that provides you access (the “Company”); we act as their software provider. This policy is published in accordance with the Digital Personal Data Protection Act, 2023 (“DPDP Act”), the Information Technology Act, 2000, and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011.
Roles under the DPDP Act
For lead and customer personal data entered into the CRM, the Company that operates the workspace is the Data Fiduciary — it decides why and how that data is processed. We process such data on the Company’s instructions as its service provider (Data Processor). For the account details of signed-in users of the Service itself, we act as the Data Fiduciary.
Information we collect
- Account information — your name, email address, phone number, and the company you belong to, used to sign you in and send you work notifications (including WhatsApp task reminders).
- Lead and customer data — names, phone numbers, requirements, notes, payment/demand records, and activity that agents record in the CRM or import from spreadsheets, forms, and advertising campaigns.
- Call recordings and transcripts — audio files that a telecaller records on their own phone (using the phone’s built-in recorder) and uploads, or attaches through the app’s folder sync. From the file name we read the customer’s phone number to link the recording to the correct lead. We may generate a text transcript and a written summary of each call.
- Usage and device information — basic technical data needed to operate and secure the Service.
Purpose and legal basis
Personal data is processed to provide the CRM to the Company: managing leads and follow-ups, connecting calls, transcribing and summarizing recordings, sending reminders and customer communications the Company initiates, generating reports, securing the Service, and meeting legal obligations. Under the DPDP Act, processing rests on the consent obtained by the Company from its customers and prospects, or on legitimate uses permitted by law. The Company is responsible for giving notice to and obtaining valid consent from the people whose data it enters into the CRM.
How the app accesses recordings
The app does not record phone calls itself. Recording is done by your phone’s built-in dialer. With your permission, the app reads new recordings from a folder you choose (via Android’s Storage Access Framework) and uploads them to your company’s account. You can disconnect the folder or turn off auto-sync at any time in the app’s settings.
Third-party AI processing
To transcribe recordings and write summaries, audio and/or transcript text may be sent to third-party AI providers that process it on our behalf:
- Groq — speech-to-text transcription of the recording audio.
- OpenAI — generating the written call summary from the transcript.
These providers process the data only to return the transcript/summary and per their own terms. We also use Supabase (database and file storage) and Google Cloud to host the Service. We do not sell your personal information or use it for advertising.
Where your data is stored
The Service’s database, file storage, and servers are hosted in cloud regions located in Mumbai, India. Limited data (such as audio sent for transcription or text sent for summarization) may be processed transiently outside India by the AI providers named above, as permitted under the DPDP Act.
Data sharing
Your data is visible to authorized users within your Company and to the service providers listed above who help operate the Service. We may disclose information if required by law or lawful order of a court or authority in India.
Retention and security
We retain data for as long as your Company’s account is active or as needed to provide the Service, then delete or anonymize it. Companies can delete leads, recordings, and whole data categories from their workspace at any time using the built-in data-management tools. Recordings are stored privately and served only through short-lived signed links. We follow reasonable security practices under Section 43A of the IT Act — encrypted transport (HTTPS), role-based access control, per-company data isolation, and audit logging.
Your rights under the DPDP Act
- Access — request a summary of the personal data held about you and how it is processed.
- Correction and erasure — request correction of inaccurate data and erasure of data that is no longer needed.
- Grievance redressal — raise a complaint with the Grievance Officer below; if unresolved, you may approach the Data Protection Board of India.
- Nomination — nominate a person to exercise these rights on your behalf.
For lead/customer data, please contact the Company (real-estate agency) you shared your details with — they control that data, and we assist them in fulfilling these requests. Signed-in users can contact their workspace administrator or us directly.
Consent for recording and telemarketing
Telecallers and their Companies are responsible for obtaining any consent required by law before recording a call, for informing customers that calls may be recorded, and for complying with the Telecom Commercial Communications Customer Preference Regulations, 2018 (TCCCPR) — including respecting DND (Do Not Disturb) preferences and permitted calling hours — and all other applicable call-recording and data-protection regulations.
Cookies
The Service uses only essential cookies — session tokens that keep you signed in. We do not use advertising or cross-site tracking cookies.
Children
The Service is a business tool intended for users aged 18 and above. We do not knowingly process the personal data of children.
Breach notification
In the event of a personal data breach, we will notify the Data Protection Board of India and affected users as required under the DPDP Act, and assist affected Companies with their own obligations.
Grievance Officer
In accordance with the IT Act, 2000 and the DPDP Act, 2023, the Grievance Officer for the Service is:
